Administrators can navigate to Home in Admin Mode, click Schedule, then select Quick Scheduling to enter the Quick Scheduling page. Quick Scheduling is particularly suitable for organizations with consistent weekly work hours, where employee schedules rarely require adjustments. Before using this feature, please ensure shift templates (such as morning shift, evening shift, etc.) have been properly configured. Once the shifts are set up, follow these steps:

  1. Select Shift: Choose a predefined shift template to apply.
  2. Set Period: Specify the start and end dates for quick scheduling.
  3. Select Workdays: Define fixed workdays for each week (e.g., Monday to Friday).
  4. Decide National Holidays and Make-up Days: Determine whether employees must work on national holidays and official make-up workdays.
  5. Apply to Employees: Select employees to whom this scheduling applies.

Following these steps, the system automatically creates schedules for the specified period, significantly reducing manual scheduling efforts.

Fixed Scheduling

"Fixed Scheduling" refers to scheduling patterns where employees' weekly work hours remain mostly unchanged, eliminating the need for frequent schedule adjustments. For organizations with stable and consistent working hours, this approach enables a single setup for long-term uniform scheduling rules.


Selecting a Shift

In this step, select the desired shift from previously configured Shift Templates, such as "Morning Shift," "Evening Shift," or any customized shift pattern. If no shift templates have been set up yet, please create them first by navigating to:

Home > Admin Mode > Schedule > Shift Templates

Administrators can access the Home page in Admin Mode, click Schedule, and then choose Shift Templates to manage and set up new shift templates. Once shift templates are configured, you can directly select and apply them during Quick Scheduling.

Start Date

Select the start date for Quick Scheduling, which defaults to today but can be adjusted to past or future dates. This date marks the first day from which the scheduling takes effect, ensuring consistent management of schedule records.

End Date

Select the end date for Quick Scheduling. The maximum duration allowed is one year.

Note: It is recommended to schedule only within the current year. Cross-year scheduling might lead to incomplete scheduling due to pending announcements of next year’s national holidays and make-up workdays. If cross-year scheduling is necessary, please regularly update holiday settings accordingly.

Workdays

When setting workdays, administrators can select from the options of Sunday through Saturday and choose multiple days simultaneously. This feature helps administrators quickly specify the required working days for each employee, facilitating more accurate and customized scheduling.

National Holidays

During national holidays, the system checks each employee's scheduling settings to determine whether work is required. Selecting "Require Work" schedules work as usual; selecting "No Work" automatically skips scheduling on national holidays, ensuring employees' holiday rights.

Make-up Workdays

For official make-up workdays, the system similarly determines scheduling based on the administrator’s choice. Selecting "Require Work" treats the day as a regular working day; selecting "No Work" excludes it from the schedule.

Applying to Employees

Administrators can select one or multiple employees simultaneously from the user list to apply this Quick Scheduling setup. This ensures all selected members have consistent schedules applied simultaneously, saving time and reducing omissions.

Handling Existing Schedules

After using the Quick Scheduling feature, administrators must choose between two methods to handle existing schedules:

  1. Overwrite Existing Schedules for This Period
    • If chosen, existing schedules on overlapping days will be deleted and replaced entirely by the Quick Scheduling settings.

Note: This action will completely clear all previously scheduled shifts within the selected period.

  1. Append to Existing Schedules
    • If chosen, existing schedules remain intact, and Quick Scheduling will only add shifts during vacant periods, automatically skipping any conflicting schedules.

Administrators can thus decide whether to completely reset schedules within a certain period or simply append new shifts to existing ones, depending on organizational needs.

Q1: Can Quick Scheduling set past dates?

A: Yes. Administrators can select past dates as the start or end date in Quick Scheduling. Typically, scheduling past dates is used to complement historical attendance records. It is recommended to first set past schedules before adding historical attendance data.
